A worked example: a growing academy

48 students, 3 coaches, a maximum of 15 players per coach, three sessions a week.

Fee of 4000 a month, coaches at 1500 a session, ground at 2000 a session, 15000 of other monthly costs.

Rules and edge cases

The situations that change the answer, and the ones most calculators get wrong.

Coach to player ratio is the constraint that decides quality

Filling batches past the ratio is the fastest way to lose the students who were paying for attention. The margin looks better for a month and then the retention problem arrives. This tool flags the breach rather than quietly absorbing it.

A month is 4.33 weeks, not four

Using four weeks understates sessions by about eight per cent, which understates coaching cost by the same. Over a year that is a month of coaching unaccounted for.

Capacity is coaches times ratio, not batches times ratio

Four batches with three coaches means somebody is taking two, either at once or on different days. Check that the timetable actually works before treating the batch count as achievable.

Attrition is the number missing here

Students leave, and enrolments cluster around term times. A plan built on today's headcount tends to overstate revenue by the second quarter. Build in a churn assumption before committing to a coach.

Frequently asked questions
